Add a Custom Greeting to Your Zoom Phone Auto Receptionist

In the Zoom admin center, open Phone System Management, then Auto Receptionists, then your receptionist's Profile tab, and set the Greeting Prompt. Click Audio Library to select, record, or upload a custom MP3 or WAV file under 10 MB. Zoom Phone requires a Zoom Workplace license with Phone, or a standalone Zoom Phone plan.

Before you start

  • Admin Center access with account owner or admin privileges for Phone System Management

  • Your greeting and any menu prompts as an MP3 or WAV file under 10 MB
  • A list of which key should route to which person, call queue, or voicemail box

Step by step

  1. Open your auto receptionist

    In the Zoom admin center, go to Product Configuration, then Phone System, then Auto Receptionists, and click your Main Auto Receptionist, or Add to create a new one.

  2. Set the greeting

    On the Profile tab, find Greeting Prompt and click Audio Library. Select an existing clip, record a new one, or upload your MP3 or WAV file (under 10 MB).

  3. Choose what happens after the greeting

    Pick a routing option: a phone user, a call queue, voicemail, an external number, or Interactive Voice Response if you want a full phone menu.

  4. Build the menu

    If you chose Interactive Voice Response, edit the menu and set each key's action, for example Forward to Auto Receptionist or Forward to a phone user, plus an optional voice input synonym.

  5. Set business, closed, and holiday hours

    Still on the Profile tab, customize routing and greetings separately for business hours, closed hours, break hours, and any holiday hours you add.

  6. Test the whole menu

    Call the assigned number and press every key you configured to confirm it reaches the right person, queue, or voicemail box.

Tips

  • Keep the main greeting and every menu prompt in the same voice so the whole phone tree sounds like one recording.
  • Use Duplicate to copy a finished auto receptionist's settings when you need a near-identical one for another site or number.
  • Set a Play a message, then disconnect option for callers who never press a key, instead of leaving them on a silent line.

What audio format does Zoom Phone accept for an auto receptionist greeting?

MP3 or WAV, and the file has to be under 10 MB. Anything larger is rejected when you try to upload it through the Audio Library.

Can I record my greeting instead of uploading a file?

Yes. The Audio Library on the Greeting Prompt setting lets you select an existing clip, record a new one, or upload a file, so any of the three works.
