Add a Custom Greeting to Your Dialpad Auto Attendant

In Dialpad's Admin Settings, open Office, then Main Line, then Business Hours and Call Routing, to upload or record your welcome greeting and build the automated response menu that works as your phone tree. Dialpad doesn't publish a format or size limit for menu prompts, so keep files small; voicemail greetings there accept MP3 up to 10 MB.

Before you start

  • Admin Settings access to your Dialpad Office and Main Line
  • A Dialpad plan that includes the main line's automated response menu (check your plan's call routing features)
  • Your welcome greeting and menu prompt audio ready to upload, or a quiet place to record them live
  • A list of which key should route to which person, department, or voicemail box

Step by step

  1. Open your Main Line settings

    In Dialpad's Admin Settings, go to Office, then Main Line, to manage your company's main number and its greetings.

  2. Upload or record the welcome greeting

    Under Business Hours and Call Routing, click Edit Call Routing, then Open Hours Welcome Greeting, and upload an audio file or record one on the spot.

  3. Set your call routing

    Choose how calls ring your team (Longest Idle, Fixed Order, Round Robin, or Simultaneous), then decide what happens when no one answers.

  4. Build the automated response menu

    Under No Operator or Fallback options, choose To an automated response menu, then set each key to dial by name, forward to a department, forward to a person or number, or leave a voicemail.

  5. Set closed-hours and holiday greetings

    Repeat the greeting and routing steps for Closed Hours Routing, and add holiday hours so callers hear the right message when you're away.

  6. Test every option

    Call your main line and press every key you configured to confirm each one reaches the right department or person.

Tips

  • Keep the welcome greeting and every menu prompt in the same voice so the whole phone tree sounds consistent.
  • Set a default option instead of leaving the menu to disconnect after two tries; an operator or voicemail catches callers who don't press anything.
  • Record separate open-hours and closed-hours greetings; Dialpad switches between them automatically based on your set business hours.

What audio format does Dialpad accept for the main line greeting?

Dialpad's help center doesn't publish a file type or size limit for the main line welcome greeting or menu prompts, though related uploads (hold queue greetings, voicemail) cap at MP3 under 10 MB, so we export a normalized file well inside that.

Can I record my greeting by phone instead of uploading a file?

Yes. The Open Hours Welcome Greeting setting lets you upload a file or record one directly, so either an audio file or a greeting recorded on the spot works.

Does Dialpad call this feature an auto attendant?

Not exactly. Dialpad calls the menu itself an automated response menu, but it works as a standard IVR: press 1 for sales, press 2 for support, and so on, with each key routed to a person, department, or voicemail.

What happens if a caller doesn't press any key?

By default, the call disconnects after the menu plays twice unless you set one option as the default destination, so it's worth choosing a default such as an operator or voicemail.

Can I set different call routing for business hours and after hours?

Yes. Open Hours Routing and Closed Hours Routing are configured separately under Business Hours and Call Routing, each with its own greeting and destinations.
